How much AI costs a small business, from 104 pricing pages: 40 of 74 established tools charge extra for AI, half the AI add-ons hide their price, and AI phone answering costs a fraction of a human service.

As of October 2026, most small-business tools with AI start at $19–$50 a month. Where AI costs extra, the add-on is another $25–$100 a month, and AI agents that answer customers charge $0.49–$1.00 per conversation. A first automation usually takes 10–30 hours to set up.

We read the pricing pages of 104 tools that small businesses use, from bookkeeping and booking apps to AI receptionists. Here's what AI actually adds to the bill, and where it doesn't pay off. We checked every price on October 20, 2026. We'll check them again in January 2027.

## How much AI costs a small business: what we found

1. 40 of the 74 established business tools we checked charge extra for AI: on a pricier plan, as a paid add-on, or per use.
2. 8 of the 15 tools that sell AI as an add-on don't publish its price.
3. Published AI add-ons cost $25–$100 a month on top of the plan, charged per user, per agent, per business or per location.
4. Answering 50 calls a month costs $49–$99 with an AI receptionist and $530–$720 with a human answering service.
5. AI support agents charge $0.49–$1.00 each time they handle a customer conversation. The AI model underneath costs about $0.001–$0.01 for the same conversation.
6. Paying yearly instead of monthly saves 20% on the median tool, and up to 60%.
7. In our model of 36 everyday jobs, 10 cost more to automate than they save at a typical small-business volume.

## The AI itself is cheap. The software around it isn't.

Answering 1,000 customer questions costs $0.55 to $11 in raw AI fees at the model makers' published prices. Help desks charge $490 to $1,000 for the same 1,000 conversations with their AI agents. You're mostly paying for the software around the AI: where it reads your help articles, how it hands off to a person, and the support behind it.

## What AI costs at the front desk

Answering calls, customers and bookings. Hover a label for what it means, and click a job to see how it works.

### Phone answering

An AI receptionist answers, takes the details and books the job. For a small business it costs $25–$99 a month. Services run by people start at $250.

### Bookings and appointments

Booking apps mostly start at $10–$30 a month. The extra cost is in their AI receptionists: $50 a month at GlossGenius, $99.95 per location at Fresha.

## What AI costs for money and paperwork

Bookkeeping, invoices, contracts and forms.

### Bookkeeping and finance

AI is already included in QuickBooks and Xero. Reading documents (Dext) and AI bookkeepers (Booke AI) cost extra. Chasing clients for documents pays off from 28 requests a month.

### Documents and contracts

E-signature and document tools keep most of their AI for top plans. A first read of a contract is where AI saves the most time; a person still signs off.

## What AI costs for sales and marketing

Finding customers, following up and keeping in touch.

### Sales and CRM

Most CRMs keep their AI for pricier plans or charge for it in credits. Following up on quotes is one of the best-paying jobs in our model.

### Marketing

Email, social and design tools mostly include basic AI writing. You pay more for contacts, channels and seats, not for the AI.

## What AI costs in industry software

The software that runs a trade, a shop, a property, a restaurant or a practice.

### Trades and field service

Jobber, Housecall Pro and similar tools run the job from quote to invoice. AI phone answering is an add-on: $29 a month at Jobber, no public price at Housecall Pro.

### Online shops

Shopify includes its AI assistant on every plan. "Where's my order?" emails and returns are among the best-paying jobs in our model.

### Property and rentals

Buildium keeps its full AI for the Premium plan. AppFolio includes it and charges per unit. Answering guest messages pays off fast; routing 12 repair requests a month doesn't.

### Restaurants and cafes

Restaurant software costs more, $350 a location for MarginEdge, so updating food costs from invoices only pays off at high volume. Stock counts pay off much sooner.

### Health and wellness practices

Practice software sells AI as an add-on, like SimplePractice's note taker. Insurance and claims work needs pricey software and doesn't pay off for a small practice in our model.

## What AI costs for your team's everyday tools

Assistants, meetings, hiring and the tools that connect everything.

### AI assistants for the whole team

ChatGPT, Claude, Gemini and Copilot cost $8–$25 a person a month. Google Workspace now includes Gemini. Microsoft charges extra for Copilot, $25.20 a person month to month.

Per-person plans add up as a team grows. At 10 people, ChatGPT Business or Copilot costs about $250 a month; a flat plan stays the same price whatever the team size.

### Meetings and notes

AI note takers are cheap and most have a free plan. Paid plans cost $14–$20 a person a month.

### People and hiring

Our price list has no separate HR tool. This work usually runs in a general AI assistant or an AI employee connected to your calendar and documents. Booking interviews pays off from 50 a month.

### Automation tools and AI agents

Zapier and Make charge by task or credit, and AI steps use more of them. Agent tools charge per person (Lindy, Dust) or per workspace (Maito, $149 flat for the whole team).

## Does it pay off? Usually, but not always.

In our model, 26 of 36 everyday jobs pay off at a typical small-business volume. Most of the 10 that don't happen too rarely, need software that costs $250 a month or more, or save only a couple of minutes each time.

Each column is one job's monthly result. Hover a column to see the job and why it pays off or doesn't, pick an industry to highlight its jobs, and click a column to try your own numbers.

## How to add AI without overpaying

1. **Start with one job you do every week, and count it.** Volume decides whether automation pays. In our model, most jobs need dozens of cases a month before they break even.
2. **Check what you already pay for.** 23 of the tools we checked include AI in their cheapest paid plan. Turn that on before buying anything new.
3. **Get the AI price in writing before the demo.** Half the add-ons have no public price. Ask what it costs at your volume, and in your busiest month.
4. **Price it per call, per conversation or per user.** A cheap plan can get expensive past its included allowance, and a big plan is wasted if you don't use it.
5. **Budget setup time.** Our modeled jobs took 10–30 hours to set up and test. Someone has to own it after that.
6. **Pay monthly until it proves itself.** Then switch to yearly: the median tool is 20% cheaper that way.
7. **Keep a person on anything that spends money or makes promises.** Refunds, prices, bookings and emergencies need a human to approve.

## How we did this

- We read each vendor's own pricing page on October 20, 2026. Where the page was blocked or showed only euros, we used USD prices from the vendor's own help pages or blog. Every price links to its source.
- We picked tools small businesses commonly use. It's a list of popular tools, not a sample of all software, so read "40 of 74 tools" as exactly that.
- "From / month" is the cheapest paid plan billed month to month. Where a vendor only shows a yearly price, we say so.
- The payoff chart comes from 36 jobs we modeled using public owner requests and vendor documentation. The inputs are our estimates, not measured results.
- The real results come from published case studies we read on October 20, 2026. 10 of the 12 are published by the vendor, so they show good outcomes, not typical ones.
- We didn't negotiate, sign up for or test any product. Taxes, payment processing fees and setup services aren't included.
