# Lost Quote Feedback: Ask Why Customers Said No

Source: https://maito.app/workflows/ask-why-a-quote-was-lost

Maito reviews last week's lost quotes, drafts one short feedback request per customer, and groups the answers by reason. You approve every send.

Each lost quote gets one polite question, and the reasons are sorted into price, timing and capacity.

## How do you find out why a quote was lost?

To find out why a quote was lost, set up a weekly Loop. Maito lists the quotes that expired or were declined, separates reasons already given from unknown ones, drafts one short question per customer, and posts them for approval. Replies are grouped by reason.

## How it's done today

The owner guesses why work was lost.

## What Maito does

1. Find quotes that expired or were declined
2. Draft one short feedback request each
3. Record any reason that comes back
4. Group the reasons

## Example

Loop run: Monday 8:00 AM · Lost-quote review

**Maito** (8:00 AM):

6 quotes closed lost last week, $31,800 in total.

Reasons already given:
• Q-2104, $5,200, Hooli patio: "went with a cheaper bid" (price)
• Q-2111, $2,400, Acme: "not until spring" (timing)
• Q-2098, $4,100: "after the 1st" (timing)

No reason: Q-2102, Q-2107 and Q-2115. Short feedback requests are drafted below.

Catch: Q-2102 expired Oct 15 with no reply. Silence isn't a reason, so it's logged as unknown, not price.

**Dana** (8:12 AM):

Send the three requests.

**Maito** (8:13 AM):

Sent. One question each, and replying is optional. I'll add the answers to next Monday's review.

## How to set it up

Ask your agent

“Every Monday at 8, find quotes that expired or were declined last week, draft one short feedback request for each customer who didn't give a reason, and post them in #sales for Dana to approve.”

## What it won't do

It can't make a customer reply, and it asks each customer once. Reasons are only what people say, so small samples are weak evidence.

## Questions

### Does it email customers without asking me?

No. Drafts go to Slack first and are sent only after you approve them.

### What if a customer never replied to the quote?

Silence is logged as unknown, not as price. Maito won't guess a reason.

### Which tools does it use?

Your CRM (HubSpot, Salesforce, Attio or Pipedrive) and email. A form such as Typeform or Tally can collect answers.
