# Crew Scheduling: Cover an Absence the Same Morning

## How do you cover a crew member's absence?

To cover a crew member's absence, have them email Maito's workspace address. Maito finds their jobs for the day, checks who is available and qualified, proposes swaps and moves, flags contract risks, and posts the options in Slack for dispatch.

## How it's done today

The manager phones staff and edits several schedules by hand.

## What Maito does

1.  Find the absent person's jobs for the day
2.  Filter available staff with the right skills
3.  Propose swaps and a fallback
4.  Ask staff to confirm and update the schedule once approved

## Example

**Maito** (6:52 AM):

Luis emailed at 6:44 AM: out sick today. 4 jobs affected.

• 8:00 Acme Law, deep clean: Ana can cover, she's at Globex nearby from 6  
• 10:30 Initech, floors: needs the floor machine and Luis's certification. Only Marcus has it, and he's booked until noon  
• 1:00 Hooli Cafe: Dee is free from 12:30  
• 3:30 Wonka Foods: no one free

Proposal: Ana, Marcus (Initech at 12:30), Dee, and move Wonka to Wednesday.

Catch: Initech's contract says floor work starts by 11 AM, so 12:30 is a breach. They'd need a heads-up.

Source: the schedule, staff availability and skills in the field service software.

**Tom** (6:58 AM):

go with Ana and Dee. I'll call Initech about the floors myself, and draft the Wonka move for me.

**Maito** (6:59 AM):

Texting Ana and Dee to confirm now. Here's the Wonka draft: "Hi, our crew is short today. May we move your 3:30 clean to Wednesday at the same time? Sorry for the change. Northstar." Say send and it goes.

## What it won't do

It only knows skills and availability that are recorded. A gap in the records is a gap in its advice.

### Does it reassign jobs on its own?

No. It proposes swaps and your dispatcher confirms them.

### Does it check skills and equipment?

Yes. It reads the skills and availability in Jobber before proposing cover.

### Will it warn customers?

It flags the contracts at risk and can draft messages. Sending takes your approval.
