# IT Access Request Process: Collected, Approved, Logged

Source: https://maito.app/workflows/handle-access-requests

Maito collects access requests in Slack, gets the owner's approval, logs a ticket and tells IT what to apply. Nobody gets access without the right sign-off.

Access requests get collected, approved by the right person and logged.

- Freshdesk

## How do you handle access requests?

To handle access requests, let people ask Maito in Slack. It collects the tool, level, end date and reason, finds the owner of the resource, and asks them to approve. It logs a ticket in your service desk and hands IT the approved request to apply. Restricted areas are flagged for the owner.

## How it's done today

Access is granted from a DM with no record.

## What Maito does

1. Read the request
2. Ask the right approver
3. Create the ticket for IT
4. Log it

## Example

**Rosa** (11:00 AM):

I need read access to Finance/Budget 2027 for the Q4 hiring plan, until Dec 31.

**Maito** (11:01 AM):

Logged as ITS-2184 and sent to Omar, who owns that folder, for approval.

• Access: read only
• Until: Dec 31, 2026
• Reason: Q4 hiring plan

**Catch:** Budget 2027 contains a Salaries subfolder that Omar has marked restricted. I asked him whether to leave it out. Nobody gets access until he answers, and Ben applies it, not me.

**Maito** (11:24 AM):

Omar approved read-only access, excluding Salaries, until Dec 31. I've passed that to Ben on ITS-2184 for him to apply. I'll tell you here when it's done.

## How to set it up

When you ask Handle access requests

Set up

Nothing to set up. Ask in Slack or by email whenever you need it.

Connect ticketing

- Jira Service Management
- ServiceNow
- Freshdesk

## What it won't do

It can't grant, change or remove access, and it only knows an owner if your team has told it who that is. Nothing is approved without the person who owns it.

## Questions

### Who approves the request?

The owner of the resource, which Maito finds from what your team has told it. It asks them in Slack or by email and waits for the reply.

### Does Maito grant the access?

No. It collects, routes and logs. IT applies the change after approval.

### Which ticketing tools does it use?

Jira Service Management, ServiceNow or Freshdesk, connected through MCP.
