Calibration dates and certificates are tracked, so an out-of-date gauge is flagged before it's used on a job. To keep measuring tools in calibration, run a weekly Loop. Maito compares the tool register with the certificates, flags tools due within 14 days or overdue, names the open jobs that use them, catches serial number mismatches, and drafts service requests for your approval. ## How it's done today Certificates sit in a folder, separate from which tools are in use. ## What Maito does 1. Read serials and due dates from the register and certificates 2. List what is due or overdue 3. Flag tools used on open jobs 4. Draft service requests ## Example Loop run: Monday 8:00 AM · Weekly calibration check **Maito** (8:00 AM): Calibration check, Oct 19. **Overdue:** caliper CAL-0415, expired Oct 10, still shown as available. **Due soon:** bore gauge BG-12 on Oct 28, used for Job 5821 bore checks. Micrometer MIC-2207 on Nov 3. **Catch:** the certificate for height gauge HG-03 uploaded Oct 5 lists serial 48812, but the register says 48182. Probably transposed digits, but I can't confirm the instrument. From the tool register, the certificates in files and the open job list. **Mina** (8:09 AM): Mark CAL-0415 do not use and request service for BG-12 and the mic. Ask the lab to check the HG-03 serial. **Maito** (8:10 AM): CAL-0415 is marked Do not use. Service request drafts to Hooli Metrology are ready for approval: BG-12 and MIC-2207, with a 5-day turnaround asked for BG-12. The HG-03 serial question is in the same draft. ## How to set it up On a schedule Keep measuring tools in calibration Ask your agent “Every Monday at 8, check the tool register and certificates for calibration due dates, flag anything due in 14 days or overdue and say which open jobs use it. In Google Drive, Box, Dropbox, Notion or Microsoft 365, compared with the register in Airtable or Microsoft 365 and dates in Google Calendar. ### Does it take a tool out of use? It flags it, and you tell it to mark the tool Do not use. Service requests go to the lab by Gmail or Microsoft 365 after approval. ### How does it know which jobs use a tool? From the open job list and the checks written on the job.
