To make sure crews work from the latest drawings, forward revisions to the workspace email. Maito reads the transmittal, names the sheet it replaces and what changed, sends the controlled link to the affected crews, tracks who has confirmed removing the old print, and reminds the rest in Slack. ## How it's done today Files get emailed, but crews keep working from older prints. ## What Maito does 1. Match the new revision to the one it replaces 2. Send the controlled link to affected crews 3. Track acknowledgements 4. Remind those who haven't confirmed ## Example Loop run: New file in drawings@northstar.example **Maito** (2:40 PM): S-201 Rev D arrived at 2:31 PM, marked Issued for Construction on the architect's transmittal. It replaces Rev C. **Change:** footing F-4 widened from 36 in. to 42 in. Sent the controlled link to 4 crews. • Confirmed: Dev (foundation), Pruitt Concrete • Not yet: Luis (forming), Anita (rebar) **Catch:** the foundation pour is Thursday at 7:00 AM and Luis's forms are built to 36 in. He still has the Rev C print in the trailer. From the transmittal in email and the drawing files. **Ray** (2:44 PM): Who hasn't confirmed, and what did I tell them last time? **Maito** (2:45 PM): Luis and Anita. Last revision (Rev C, Oct 9) Luis took 2 days to confirm. I've reminded both with the 42 in. change in the first line and will list them again at 4:00 PM. ## How to set it up When something happens Make sure crews have the latest drawings Ask your agent “When a drawing revision arrives in drawings@northstar.example, find what it replaces, send the link to the affected crews and track who confirms they've removed the old print. Otherwise it tells you and does not send the link. ### Where are the drawings kept? In Google Drive, Box, Dropbox, Notion or Microsoft 365. Crews get the link by email from Gmail or Microsoft 365, and tasks live in Linear, Asana, ClickUp, Jira or Trello. ### How are confirmations tracked? Crews reply, and Maito records who confirmed and who has not.
