# Appointment Rescheduling Without Double Booking

Ask Maito in Slack to move an appointment. It finds slots that fit staff, chair and buffer, and updates the booking and reminders together.

A reschedule frees the old slot, cancels old reminders and sends one confirmation.

## How do you reschedule an appointment without double booking?

To reschedule an appointment without double booking, ask Maito in Slack. It checks the service length, staff and buffers, offers open slots, books the one you pick, releases the old time, cancels the queued reminder and sends one confirmation text.

## How it's done today

Staff change one calendar and forget the other.

## What Maito does

1.  Check the service length and availability
2.  Offer replacement slots
3.  Release the original slot once the new one is booked
4.  Replace the reminders and confirm once

## Example

**Ines** (1:20 PM):

Chloe Adams wants to move Thursday's 2:00 PM cut and color to Friday afternoon.

**Maito** (1:21 PM):

Cut and color is 2 hours 45 minutes with Mei. Open on Friday Oct 23:

• 1:00 PM, ends 3:45 PM  
• 3:15 PM, ends 6:00 PM

Mei is free and a color chair is open in both, with the 15-minute buffer kept.

Nothing changes on Thursday until the new slot is booked. Catch: Chloe's 24-hour reminder for Thursday is already queued. I'll cancel it with the move, so she doesn't get a text for an appointment she no longer has.

3:15.

**Maito** (1:25 PM):

Done. Friday Oct 23, 3:15 PM with Mei is booked. Thursday 2:00 PM is released, the old reminder is cancelled and one confirmation text went to Chloe.

## What it won't do

It only knows the rules in your booking data and notes. Unwritten preferences, such as a favorite stylist, need telling.

## Questions

### Does anything change before I pick a slot?

No. The original time stays until the new one is booked.

### What happens to the old reminder?

Maito cancels it so the client doesn't get a text for an appointment they no longer have.

### Which tools does it use?

Your booking system, Calendly or Cal.com, and Twilio for texts.
