# Appointment Reminders: Text Tomorrow's Clients

Every afternoon Maito texts tomorrow's clients, collects confirm or cancel replies, and posts who has not answered so staff can stop chasing.

Clients get a short reminder text, and you see who confirmed, cancelled or hasn't replied.

## How do you send appointment reminders?

To send appointment reminders, set up a daily Loop. Maito reads tomorrow's bookings, texts each client the time and address, collects confirm or cancel replies, cancels stale reminders for moved appointments, and posts the counts and no-replies to Slack for your front desk.

Staff phone or text clients one by one.

## What Maito does

1.  Pull tomorrow's appointments
2.  Text a short reminder with time, stylist and address
3.  Record confirm and cancel replies
4.  Cancel stale reminders after changes

## Example

Loop run: Daily 4:00 PM · Appointment reminders

**Maito** (4:00 PM):

Reminders sent for Tuesday Oct 20: 14 appointments.

• Confirmed: 9  
• Cancelled: 1, Ana R., 11:30 AM with Mei. That slot is open.  
• No reply: Joy T. (9:00 AM), Lila K. (12:15 PM), Marcus B. (2:30 PM), Dee O. (4:00 PM)

Catch: Lila moved from 2:00 PM to 12:15 PM on Friday, and the old 2:00 PM reminder was still queued. I cancelled it and sent only the 12:15 PM time.

Text the four no-replies again at 8 AM tomorrow.

**Maito** (4:08 PM):

Scheduled for 8:00 AM, same short text. The open 11:30 AM slot stays open. Want me to offer it to the waitlist?

## What it won't do

It can't call clients. It can only text the numbers your booking system holds.

## Questions

### Can it text reminders?

Yes, through Twilio, using your booking system's data from Calendly or Cal.com.

### What if a client reschedules after a reminder is queued?

It cancels the old reminder and sends only the current time.

### Can it chase people who don't reply?

Yes. You tell it when to text them again and it sends a second short message.
