# Contract Renewal Tracking: Notice Dates in Time

## How do you track contract renewal dates?

To track contract renewal dates, point Maito at the folder of signed contracts and set a schedule. Each week it reads them, finds notice and end dates, and lists the ones coming up within your window with the owner and amount. It also flags auto-renewal terms that are easy to miss.

## Example

Loop run: Monday 9:00 AM · Weekly contract dates

**Maito** (9:00 AM):

Read 86 signed contracts in Drive. 4 notice dates in the next 60 days:

• **Initech support, notice by Nov 12.** Renews Dec 12 for $18,500. Owner: Jo.  
• **Hooli licence, ends Dec 15.** No renewal clause, so it simply lapses. Owner: Alex.  
• **Globex hosting, notice by Dec 1.** Auto-renews Dec 31 for 12 months at $48,000. Owner: Omar.  
• **Wonka Foods, notice by Dec 10.** $6,200. Owner: Priya.

Catch on Globex: section 14.2 says notice must go by registered post to their legal address, so allow a week, not a day.

“Every Monday at 9, read the signed contracts in the Legal folder in Drive and remind the owner when a notice date is 60 days away or less. Post a summary in #legal.”

## What it won't do

It can only track what is in the folder and readable. A scanned or amended contract can hide a date, so check the ones it marks as unclear. It never sends a notice of non-renewal for you.

## Questions

### Where does it find the contracts?

In the file tool you connect, such as Google Drive, Box, Dropbox, Notion or Microsoft 365. It reads the signed files in the folder you name.

### Can it remind owners directly?

Yes. It can post in a channel or email the owner, and you choose which in the request. It sends reminders only, not cancellations.

### How often does it check?

As often as you set. A weekly Loop is common, and it can also run on request in a thread.
