To write grant reports, tell Maito when to run and where the data lives. At quarter end Maito pulls program numbers and stories, fills each funder's template, compares results to each grant's targets, notes the reason for any gap, and posts the drafts for you to edit. ## How it's done today Reports are rushed at the deadline. ## What Maito does 1. Fill the funder's template ## Example Loop run: Sept 30, 9:00 AM · Quarterly grant reports **Maito** (9:00 AM): 3 drafts attached, each in the funder's template with 2 stories: • **Smith Foundation**, due Oct 15. 412 youth served against a target of 400. • **Globex Foundation**, due Oct 31. Same numbers, their format. • **Wonka Family Fund**, due Nov 15. 38 new volunteers, 1,150 hours. **The catch:** Globex's grant sets a 75% completion target. We're at 288 of 412, which is 70%. The draft says so and gives the reason from the program notes: the summer session ran short. You may want to talk to them before they see it. From the Airtable attendance base and the story folder in Drive. The stories use first names only; check the consent notes. **Imani** (9:22 AM): add the Maya story to Globex in place of the second one. **Maito** (9:24 AM): Swapped in Maya's story. Her consent form is on file for stories, but not for a photo, so the photo is left out. ## How to set it up On a schedule Write grant reports Ask your agent “At the end of each quarter, pull program numbers from our Airtable base, read the stories in Drive, and draft the report for each active grant in the funder's template. An Airtable or Microsoft 365 base for program data, and Google Drive, Box, Dropbox, Notion or Microsoft 365 for stories and templates. ### Does it check story consent? It follows the consent notes in your files and leaves out what isn't covered, such as photos. You confirm before sending. ### Does it run each quarter? Yes.
