How do you review profit on each finished job?
To review profit on each finished job, let Maito watch for jobs that close. It compares the amount earned with labor, materials and extras from your books and time records. It posts a summary in Slack and flags the jobs that missed their margin so you can see why.
How it's done today
Revenue, labor and materials are compared months later, if at all.
What Maito does
- Pull invoiced revenue, hours and material costs
- Separate extra work and work in progress
- Compare with the estimate
- Flag the variance for the owner to review
Example
Loop run: Job closed · 214 Elm kitchen remodel
214 Elm kitchen remodel closed. Margin was 11 percent, not the 24 percent estimated. Revenue: $38,400. Costs: $34,170 ($21,300 labor, $12,870 materials). • Labor was 312 hours, the estimate was 240. • Materials were $1,480 over, mostly cabinet hardware reordered on Sep 28. Catch: $2,150 of extra work, the added outlet circuit and pantry shelving, was done but isn't on any invoice. Billed, margin would be about 16 percent. Source: accounting software, time entries and the Aug estimate.
@Maito draft a change order invoice for the extras. I'll review.
Draft invoice for $2,150 is ready for your review, with dates and hours from the time entries. I haven't sent it. I can't say why labor ran over, so I've left that for you to look into with Tom.

How to set it up
- Ask your agent
“When a job is marked closed, compare invoiced revenue with labor hours and material costs against the estimate and post the result in #owners.”
- Connect accounting software
- QuickBooks
- Xero
- Connect spreadsheet
- Airtable
- Microsoft 365
- Use time tracking
- Harvest
- Toggl
No MCP server needed. Ask your agent to save a skill with the steps, then add the login or API key in Settings → Vault.
Not connected yet? Your agent sends you a link to sign in.
What it won't do
It's only as accurate as the labor hours and costs recorded against each job. Unlogged time or materials will make a job look more profitable than it was.
Questions
QuickBooks or Xero for the books, a spreadsheet in Airtable or Microsoft 365, and a time tracker such as Harvest or Toggl through a skill.
Against the margin you set. Tell it the target and it flags anything below it.
No. It reads and reports.
