How do you handle a membership freeze request?
To handle a membership freeze request, mention Maito in Slack with the member's name. It reads the request and your freeze policy, checks the member's plan and billing dates, explains what would happen and what it costs, and drafts the reply email for you to approve.
How it's done today
Staff change the billing date and the class access in two places and forget to switch them back.
What Maito does
- Read the requested dates and check the freeze policy
- Preview billing and class booking effects
- Wait for staff approval
- Set a reminder to restore billing on the agreed date
Example
@Maito Dana Reyes wants to freeze her membership for all of November. What happens if we do it?
Here is the preview for Dana, monthly $89 plan, nothing changed yet. • Freeze Nov 1 to Nov 30 fits policy (minimum 2 weeks, maximum 3 months) • Nov 1 payment of $89 is skipped; next payment Dec 1 • Freeze fee: $10 per month, so $10 on Nov 1 • 4 booked classes are cancelled: Nov 3, 5, 10 and 12 Catch: her 12-month commitment ends Nov 15. A freeze pushes it to Dec 15, so the freeze extends what she signed up for. She may not realize that. From the membership system and the freeze policy in company knowledge. Want me to draft the confirmation to Dana with the Dec 15 date and the $10 fee?
@Maito yes, and I'll apply the freeze once she replies.
Draft is in your inbox for you to send, covering the dates, fee and Dec 15 end. I've set a reminder for Nov 28 to check billing resumes on Dec 1 at the right amount.
