How do you update customers about late parts?
To update customers about late parts, run a weekday Loop. Maito finds repair orders waiting on parts that missed their date, reads the latest supplier reply, treats vague replies as unconfirmed, and drafts texts or emails that use only verified dates. You approve in Slack before anything goes out.
How it's done today
The adviser checks supplier sites and repeats estimates nobody has confirmed.
What Maito does
- Find parts past their confirmed date
- Read the latest supplier replies
- Request an update where needed
- Draft customer messages with verified dates only
Example
Loop run: Weekday 8:30 AM · Late parts check
3 repair orders are waiting on late parts. • RO 10388, CR-V water pump (Globex Parts): confirmed Oct 16, no tracking. • RO 10391, Civic control arm: supplier says 'ships Tuesday', no date or tracking. • RO 10395, Pilot starter: due Oct 20, on time. Catch: the Civic reply says 'ships Tuesday' only, so I'm treating it as unconfirmed rather than giving the customer a date. The CR-V has already missed its date by 3 days. From the shop job records and the supplier emails. Texts for the CR-V and Civic customers are drafted: they say we're waiting on a confirmed date and will update by Wednesday noon.
@Maito Send the CR-V text. Hold the Civic, I'll call Globex first.
CR-V text sent to Mr. Lee. Civic held. I'll ask again at 11:00 AM whether Globex has given a date.

What it won't do
It knows only what suppliers and your records say. It cannot track a part that has no tracking, and it sends nothing without approval.
Questions
Your shop management software, such as Tekmetric or Shopmonkey, through a skill, supplier email in Gmail or Microsoft 365, and Twilio for texts.
The draft says you are waiting on a confirmed date and will update by a set time. It never makes up an estimate.
Yes, it can draft that email and ask again at the time you set.
