How do you compare venues and vendors?
To compare venues and vendors, tell Maito the city, dates, headcount and budget. It researches options on the web and ranks them with price, capacity, AV and availability side by side, and flags risks like a conference that week. It contacts no one until you tell it to.
How it's done today
Quotes are compared in a spreadsheet by hand.
What Maito does
- Collect needs
- Research and compare options
- Rank by fit and price
Example
@Maito Find venues for 300 people in Austin, October, budget $40,000 for the venue. Two days, with AV.
5 options, ranked 1. Riverside Hall: $31,500, seats 320, AV included, open Oct 12 to 13. 2. Capitol Loft: $36,000, seats 300, AV extra ($4,200), open Oct 19 to 20. 3. Eastside Warehouse: $24,000, seats 350, no AV, open Oct 14 to 15. 4. The Pecan Hotel ballroom: $38,500, seats 300, catering minimum $18,000. 5. Lakeview Center: $29,000, seats 280, open Oct 12 to 13 only. Catch: Capitol Loft's Oct 19 to 20 dates fall the week of a big conference, and nearby hotels may sell out. Book rooms early. Sources: venue sites and public price lists. Prices are from the web, so they need confirming. I haven't contacted any venue. Want me to draft inquiry emails for the top 3?

How to set it up
- Set up
Nothing to set up. Ask in Slack or by email whenever you need it.
What it won't do
Web prices can be out of date and availability changes quickly. Confirm each option with the venue before you commit.
Questions
From venue websites and public price lists. They're a starting point and need to be confirmed with each venue.
Not unless you ask. It lists options first, and any message to a venue is drafted for your approval.
Yes. Tell it what you need and it compares them next to the venue price.
