How do you ask customers only for missing job details?
To ask customers only for missing job details, give Maito your intake checklist. When a request arrives from email or a form, it checks each item, lists what you have, and drafts questions for what's missing. After you approve, it sends them, then adds the reply to the case.
How it's done today
The estimator sends several ad hoc questions and loses track of the replies.
What Maito does
- Compare the request with the checklist for that service
- List what's missing
- Draft only those questions
- Attach the replies to the case
Example
Loop run: New remodel request on the website form
Brian Ko's kitchen remodel request has 5 of 8 checklist items. Missing 3. Have: room size 12 x 14 ft, new cabinets and counters, start in January, 4 photos, address, phone. Draft questions: 1. Are any walls, the sink or the gas line moving? 2. Which appliances stay and which are replaced? 3. What budget range are you working with? Catch: the last line of his email says he wants to "open up the wall to the dining room". That's a layout change, so question 1 is likely yes, and it may need a permit. Your call.
@Maito Send 1 and 2, skip the budget question for now.
Sent two questions to Brian, copy to you. I'll attach his reply to the case and tell you here when both are answered.

What it won't do
It asks for what your checklist says. It can't judge a job on its own, and for scope or permit questions you make the call.
Questions
It compares the request to your checklist, using the customer's email, form answers and photos.
No. You approve, or edit, the questions first. You can drop any you don't need yet.
Maito flags it, such as a layout change that may need a permit, and leaves the decision to you.
