How do you collect tutoring session reports?
To collect tutoring session reports, have Maito watch the calendar. When a lesson ends, it asks the tutor in Slack whether it happened and for a short report, then posts at 7 PM what is complete and what is missing, and marks complete lessons ready for billing.
How it's done today
The admin asks tutors at the end of the week whether lessons happened and chases notes.
What Maito does
- Ask the tutor for attendance after the lesson ends
- Collect the report in a standard form
- Flag missing or conflicting records
- Mark lessons ready for billing
Example
Loop run: Daily 7:00 PM · Lesson record check
6 lessons today. 4 are complete and ready for billing. Complete • Ravi S. (maths, Mr. Ortiz), Amy T. (reading, Ms. Park), Leo B. (chemistry, Mr. Ortiz), Nora K. (maths, Ms. Park) Needs you, Grace • Dmitri V., 4:00 PM, Ms. Park: lesson marked taught, but there is no report • Sana R., 5:30 PM, Mr. Ortiz: marked taught, but the parent cancelled by text at 2:10 PM, which is inside the 24-hour rule Catch: Sana's lesson shows as taught, so it would be billed at full $65. If it was cancelled late, the policy charge is 50%, $32.50. From the calendar, the tutors' attendance replies and the report form. Billing is on hold for these two.
@Maito Sana's lesson didn't happen, so mark it late-cancelled. Chase Ms. Park for Dmitri's report.
Sana's lesson is marked late-cancelled, 50% charge pending your final invoice review. I've asked Ms. Park for Dmitri's report and will list it again tomorrow at 9.

What it won't do
It relies on tutors answering. It can't confirm a lesson happened unless someone says so.
Questions
The lesson shows as missing a report and stays out of billing until someone resolves it.
It flags lessons marked taught that conflict with a cancellation, so billing can follow your 24-hour rule.
Your calendar, Gmail or Microsoft 365 for parent messages, and a Typeform or Tally report form through a skill.
