How do you collect references with a candidate's permission?
To collect references with a candidate's permission, tell Maito once the candidate agrees. It confirms the permission is on record, drafts the request to each referee, tracks who has answered and compares the replies with the CV. You approve every send, and it posts a summary in Slack.
How it's done today
The coordinator chases referees for contact details and questionnaire replies by hand.
What Maito does
- Confirm the candidate has given permission
- Send the approved questions to each referee
- Track replies and summarize with sources
- Flag mismatches for a person
Example
Loop run: Candidate moved to References · Mateo Ruiz
References for Mateo Ruiz (Warehouse Supervisor, Wonka Foods): 1 of 2 answered. Permission: Mateo agreed by email on Oct 14, saved in the applicant tracker. Linda Park, former manager: answered. She said he "led a team of 9 and cut pick errors by about a third." She was his manager from March 2021 to June 2023. Sam Okafor: no reply yet, asked Oct 15. Catch: Mateo's CV says he worked there from January 2020, and Linda replied from a personal Gmail address, not a company one. I haven't judged either point. From the form reply and the CV in the applicant tracker.
@Maito Ask Linda to confirm her dates from her work email. Remind Sam too.
Drafted both: one asking Linda to confirm the dates from her company address, and a second reminder to Sam. They go out when you approve them in the thread.

What it won't do
It can't verify a referee's identity beyond the email address. Hiring decisions stay with your team.
