How do you follow up on event leads?
To follow up on event leads, post the badge-scan list in Slack or send it by email. Maito sorts the leads into hot, nurture and not a fit, checks your CRM for existing contacts and deals, and drafts a follow-up for each group. You get a sorted spreadsheet and drafts nobody has sent yet.
How it's done today
Event leads get one generic email two weeks later.
What Maito does
- Read the lead list and booth notes
- Research and sort the leads
- Draft follow-ups by group
Example
@Maito here's the list from the Chicago ops summit, 180 scans with booth notes. Sort it and draft follow-ups. Attached: chicago-leads.xlsx
Sorted in chicago-leads-sorted.xlsx. • Hot (22): asked for a demo or have 200+ staff. Personal draft for each, assigned to its rep. • Nurture (90): one 2-email sequence. • Not a fit (68): under 10 people, students, and 11 from competitors. Catch: 6 hot leads are already open deals in HubSpot, including Stark Logistics, Dana's $48k deal in negotiation. A generic follow-up would land in the middle of that, so I wrote those 6 as notes to the owner instead. 3 leads gave personal Gmail addresses. Nothing has been sent. Reps send their own hot-lead emails.
@Maito show me the Stark Logistics note.
'Dana, Marcus from Stark stopped at the booth and asked about SSO again. His note says he needs an answer before Nov 6. Worth raising on your next call.'

How to set it up
- Ask your agent
“When I post a trade show lead list in #marketing, sort the leads, check them against HubSpot and draft follow-ups by group.”
- Connect spreadsheet

What it won't do
It can only sort on what the scans and notes contain. A lead with no booth notes gets sorted on company size and title alone.
Questions
HubSpot, Salesforce, Attio and Pipedrive, once connected. It looks up each lead so a follow-up doesn't land in the middle of an open deal.
No. Maito writes the drafts and your reps send their own. Drafts for leads with open deals go to the deal owner as notes instead.
Maito works from the columns and booth notes you give it. It flags personal email addresses and duplicates, and asks if a column is unclear.
