How do you tell a revised order from a new one?
To tell a revised order from a new one, forward the PO to the workspace address. Maito compares it with the original order, lists each changed line, checks what is shipped, in stock or still being picked, and drafts the reply. It changes nothing until you approve, and flags lines that can't be reduced.
How it's done today
Staff can't tell whether a customer's email is a new order or a change to an old one.
What Maito does
- Find the original order
- Show each changed line
- Check what has already shipped
- Draft an adjustment for approval
Example
Loop run: Revised PO from Vandelay Imports
PO 5521-R from Vandelay Imports is an amendment to PO 5521 (order SO-20988), not a new order. Three changes: • Line 1: 120 down to 100 units. Already shipped Oct 16 (invoice INV-9910). • Line 2: 200 up to 250 cases. In stock: 312. • Line 3: delivery Nov 2 moved to Oct 28. Still being picked. Catch: line 1 can't be reduced because 120 units are already on the invoice. They'd need a return, and their PO doesn't say so. From the two POs and the order system. Nothing has been changed.
@Maito Apply lines 2 and 3. Draft a reply on line 1 offering to take back 20 units.
Lines 2 and 3 are updated on SO-20988. The reply is drafted and not sent. It explains line 1 shipped Oct 16 and offers a return of 20 units. I'll send it when you approve.

How to set it up
- Ask your agent
“When a customer sends a revised PO, find the original, show me the changed lines and whether they've shipped, and post it in #orders.”

What it won't do
It compares documents it can read. If the customer's wording is ambiguous, it asks rather than assuming an amendment.
Questions
Only after you approve. Until then it only reports what differs.
Yes. It checks the invoice and shipping status, and explains why a change isn't possible.
Email and file storage, plus your ERP, such as NetSuite, through a skill with a login in the Vault.
