How do you answer how-do-we questions from your SOPs?

To answer how-do-we questions from your SOPs, put your procedures in shared files and let Maito read them. When someone asks in Slack, it finds the right procedure and answers step by step. It names the source document, so people can check it.

How it's done today

The experienced colleague answers the same question again, or someone digs through old files.

What Maito does

  1. Search the approved procedures
  2. Answer with the exact source
  3. Say when it's unclear or out of date
  4. Route gaps to the owner

Jess 9:48 PM

@Maito how do we close out the register and count the till?

Maito APP 9:49 PM

From the Closing Procedure, revised Aug 14, section 3: • Run the Z report before cashing out. • Count the till twice. Leave the $200 float. • Put cash over the float in the safe bag and log it on the deposit sheet. • Sign the sheet with a second person. Catch: the SOP says to bag card slips by terminal, but the new second terminal installed Oct 3 isn't mentioned anywhere. I can't tell you the right way for it. Source: Closing Procedure and the Oct kitchen notes. I'll ask Kate to update it.

Jess 9:52 PM

@Maito thanks, Terminal 2 slips went in the same bag tonight.

Maito APP 9:53 PM

Noted. I've sent Kate the question about Terminal 2, with your note on tonight's practice. I won't treat it as the rule until she confirms.

What it won't do

Maito answers from what's written. It can't know steps that only live in someone's head, or procedures that changed without an update.
