How do you confirm an engagement letter is signed and paid?
To confirm an engagement letter is signed and paid, tell Maito to check when a letter goes out. It reads the e-signature record, the retainer invoice and the file version, reports what is still open in Slack and drafts the reminder to the client. Onboarding stays on hold until you release it.
How it's done today
Staff track signatures, scope and deposits in three different places.
What Maito does
- Identify the current agreement version
- Check signatures
- Check the retainer invoice
- Hold onboarding until both are done
Example
Loop run: Engagement accepted in principle
Nakamura Imports engagement status. Agreement: client signed Oct 16. Firm countersignature is pending with Claire. Retainer: invoice INV-3310, $5,000, sent Oct 12, unpaid in accounting. Onboarding: on hold. Catch: the signed file is v2, which includes trademark filings. The letter we sent Oct 12 was v3, with trademark work moved to a separate engagement. They signed the wrong version. From the e-signature record and the accounting software. A reminder asking them to sign v3 is drafted for your approval.
@Maito Send it, and tell me when the retainer lands.
Sent to Mr. Nakamura with v3 attached. I'll post here when the retainer shows as paid or on Oct 26, whichever comes first.

What it won't do
It sees only what the signature and accounting records show. A payment made outside those systems will look unpaid.
Questions
Docusign for signatures and QuickBooks or Xero for payment, plus email for reminders. Practice management software works through a skill.
Yes. It compares the signed file with the letter you sent and flags any difference.
No. It drafts them and waits for approval, then watches for the signature or payment.
