How do you get insurance renewals ready early?
To get insurance renewals ready early, set up a weekly Loop. Maito lists the policies renewing in the next 60 days, compares last year's details with your CRM and call notes, and drafts each client's information request. It flags changes the policy doesn't yet reflect. You approve, and it follows up on the date.
How it's done today
Agents remember dates and ask clients for updated information one by one.
What Maito does
- List renewals in the preparation window
- Draft requests for updated exposure information
- Pull what changed from notes
- Assemble the pack for the licensed agent
Example
Loop run: Monday 8:30 AM · Weekly renewal prep
6 renewals in the next 60 days. 3 ready to start, 3 not yet in the window. First up: Westbrook Bakery, commercial package, renews Dec 14. On file last year: payroll $212,000, 2 vehicles, 1 location. Draft request asks for: current payroll estimate, vehicle list, new locations, sales estimate. Catch: the Sept 22 call notes say they bought a delivery van and are opening a second counter in November. Neither is on the policy. I've added both to the request and flagged them for the agent. From the agency system and CRM notes. Drafts for the other 2 are in the thread.
@Maito Send the Westbrook one.
Sent to Marco Westbrook from you, asking for a reply by Oct 28. I'll set a follow-up for that day and assemble the pack as answers arrive.

How to set it up
- Ask your agent
“Every Monday at 8:30, list policies renewing in the next 60 days, pull recent notes, and draft an information request to each client. Post in #renewals for the account manager.”
- Connect CRM
- HubSpot
- Salesforce
- Attio
- Pipedrive
- Connect email
- Gmail
- Microsoft 365
- Superhuman Mail
- Use agency management software
- Applied Epic
- HawkSoft
No MCP server needed. Ask your agent to save a skill with the steps, then add the login or API key in Settings → Vault.
Not connected yet? Your agent sends you a link to sign in.
What it won't do
It can't quote or bind coverage, and it only knows changes someone recorded in your notes or email.
Questions
Yes. A Loop checks the renewal window on a schedule and posts the list in Slack or by email.
Your CRM, such as HubSpot, Salesforce, Attio or Pipedrive, and email. Agency management software like Applied Epic or HawkSoft works through a skill.
Only after you approve it. Then it sets a follow-up for the reply date.
